Google Business Profile Optimization for Clinics: A Step-by-Step Guide
To optimise a Google Business Profile for a clinic, get five things right: the exact real-world clinic name, the correct primary category (for example Dentist, Pediatrician or Physiotherapy centre, not a generic one), complete hours and services, an appointment link, and a steady stream of genuine patient reviews that you reply to. For multi-doctor clinics, set up a profile for the clinic and, where it fits, separate profiles for public-facing doctors following Google's practitioner rules. Everything else, like posts and photos, helps but comes after these.
For most clinics in India, the Google profile is the front door. Patients search "dentist near me" or "skin doctor in Andheri", see three clinics on the map, and call one. They may never open your website. So this profile deserves real care.
Step 1: Claim and verify the right profile
Search for your clinic name on Google Maps first. There may already be a profile created by a patient or by Google itself, sometimes more than one.
- If a profile exists, click "Own this business?" and claim it.
- If there are duplicates (common when a clinic has moved or changed name), claim one and request removal or merging of the others through Google Business Profile support.
- If nothing exists, create a new profile at business.google.com.
Verification methods vary. Google may ask for a video recording showing your signboard, the clinic interior and proof you manage the place, or offer phone, email or postcard options. Have your signboard, a utility bill or registration document handy.
Use a Google account that belongs to the clinic (not a staff member's personal Gmail) as the primary owner. Add your marketing person or agency as a manager, not owner. When staff leave, you should not lose the profile.
Step 2: Get the name right
Google's rule is simple: the name on the profile must be your real-world name, as it appears on your signboard, website and stationery.
| Allowed | Not allowed |
|---|---|
| Smile Care Dental Clinic | Smile Care Dental Clinic - Best Dentist in Pune |
| Dr. Mehta's Skin Clinic | Dr. Mehta's Skin Clinic Laser Hair Removal Acne |
| City Physio Centre | City Physio Centre Open 7 Days 98XXXXXXXX |
Keyword-stuffed names are one of the most common reasons clinic profiles get suspended. Your competitor may be getting away with it for now. That does not make it safe for you, and you can use the "Suggest an edit" option on their listing if their name breaks the rules.
Doctors' individual profiles
Google allows individual practitioner profiles for doctors who see patients directly at the verified location. The rules that matter:
- Solo doctor under a clinic brand: Google suggests a single profile named in the format "Clinic name: Doctor name".
- Several doctors at one clinic: a profile for the clinic, plus separate profiles for each public-facing doctor. The doctor's profile carries only the doctor's name, not the clinic's.
- Not allowed: profiles for receptionists, assistants or other support staff, and multiple profiles for the same doctor.
Individual profiles make sense for well-known senior doctors that patients search for by name. For a small clinic, one strong clinic profile is often enough.
Step 3: Choose categories carefully
The primary category has a big effect on which searches you appear for. Pick the most specific one that describes the clinic as a whole.
Examples of categories you may find (the exact list in your account can differ):
- Dentist, Dental clinic, Orthodontist, Endodontist
- Dermatologist, Skin care clinic
- Pediatrician, Gynecologist, Orthopedic surgeon
- Physiotherapy centre, Physiotherapist
- Medical clinic, Diagnostic centre
- Eye care center, Ophthalmologist
Add a few secondary categories only if you genuinely offer those as major services. A dental clinic with an orthodontist on staff can add Orthodontist. A general clinic should not add ten specialties because one doctor visits once a month.
Check what the top-ranked clinics near you use. On a desktop, tools and browser extensions can show competitor categories, or you can often see the primary category under the name in Maps.
Step 4: Fill in every useful field
An incomplete profile looks less trustworthy to patients. Work through these in the Business Profile editor (from Google Search or Maps, while logged in as owner or manager):
- Address. Exactly as on your signboard, with floor, building name and landmark. Place the map pin on your actual entrance.
- Phone number. A number that is answered during clinic hours. If you use WhatsApp Business on the same number, patients will message too, so plan who replies.
- Website. Link to your home page, or to a specific clinic location page if you have multiple branches.
- Appointment link. Add your booking page or online appointment system. This shows as a "Book" or appointment button on the profile in many cases.
- Hours. Regular hours, plus special hours for Diwali, Holi, Eid, Christmas and other closures. Wrong hours lead to wasted trips and bad reviews.
- Services. List the actual procedures and consultations: root canal, braces, laser hair removal, knee pain physiotherapy, child vaccination. Add a short plain description to each.
- Description. Up to 750 characters. Say what the clinic does, which doctors practise, specialties, languages spoken (Hindi, Marathi, Tamil and so on), and parking or accessibility. No links, no offers.
- Attributes. Wheelchair accessible entrance, onsite services, and other options Google shows for your category.
- Opening date. Add it if you have it.
Step 5: Photos that help patients decide
Patients want to know what they are walking into. Upload real photos, taken in good light on a phone:
- Signboard and entrance from the street (helps people find you)
- Reception and waiting area
- Consultation room and treatment chairs or equipment
- Doctors, with their permission
- The team
Avoid stock images and heavily edited photos. Do not post photos of patients or before/after treatment images without careful consent, and check what your professional council's rules allow. Medical ethics rules in India limit how doctors can advertise, so keep the profile factual rather than promotional.
Add a few new photos every month or two. It keeps the profile current and gives patients a reason to trust the details.
Step 6: Reviews, handled properly
Reviews affect both ranking and whether a patient chooses you. Most clinics under-ask.
How to ask
- Create your review link from the profile ("Ask for reviews" or "Get more reviews" in the editor) and turn it into a QR code for the reception desk.
- Have the receptionist mention it at billing: "If you have a minute, a Google review helps other patients find us."
- Send the link on WhatsApp after the visit, in the same message as the prescription or follow-up reminder.
What not to do
Google's review policy does not allow:
- Offering discounts, free consultations or any incentive for a review
- Asking only patients you think are happy, or discouraging negative reviews
- Staff or family writing reviews
- Pushing staff to hit review targets or asking patients to include specific content
Buying reviews or running review exchanges risks removal of reviews and penalties on the profile. It is not worth it.
How to reply
Reply to every review, positive or negative, within a few days.
- Thank positive reviewers briefly. Mention the service only if they already did.
- For negative reviews, stay calm, do not argue in public, and invite them to call the clinic.
- Never confirm or discuss medical details in a reply. Even saying "we treated your root canal on 5th March" discloses health information. Keep replies general.
Step 7: Posts and ongoing upkeep
Google posts let you share updates, offers and events. For clinics, useful post ideas are:
- Health camps, free check-up days or new equipment
- New doctor joining, with their specialty and timings
- Seasonal reminders, like monsoon hygiene or flu vaccination timing
- Changes in hours
Posts will not transform your ranking, but an active profile looks cared for. One or two posts a month is a sensible rhythm.
Also check the profile monthly. Anyone can suggest edits to your listing, and Google sometimes applies them. Look for changed hours, phone numbers or categories that you did not make.
The monthly checklist
- [ ] Hours correct, including upcoming festival closures
- [ ] No unwanted edits to name, phone, address or categories
- [ ] All new reviews replied to
- [ ] Review link shared with patients this month
- [ ] At least one new photo
- [ ] One or two posts
- [ ] Performance section checked: calls, direction requests, website clicks
Where the website fits in
The profile gets you on the map. Your website supports it. A clinic website with a page for each main treatment and your full address and phone number (matching the profile exactly) gives Google more confidence in your listing and gives patients detail the profile cannot hold. Our local SEO checklist for India covers the website side and local citations.
Where to start
This week: check the name follows Google's rules, fix the primary category, complete hours, services and the appointment link, and put a review QR code on the reception desk. Those four things do most of the work.
After that, it is a monthly habit: reviews, replies, a few photos, a post. If you would rather hand this to someone, our SEO team manages clinic profiles alongside their websites, and you can contact us to talk it through.
Questions people ask
Can each doctor in my clinic have their own Google Business Profile?
Yes, if they are public-facing practitioners who can be contacted directly at the verified location during their stated hours. Google allows separate profiles for the clinic and for individual practitioners at a multi-doctor location. Support staff cannot have their own profiles, and a practitioner should not have multiple profiles.
Can I add "best dentist" or my area name to my clinic's name on Google?
No. Google's guidelines say the business name must match your real-world name as used on your signboard, website and stationery. Adding keywords, locations, phone numbers or phrases like "24 hours" breaks the rules and can get the profile suspended. Put that information in the categories, description, hours and services instead.
How do I get more Google reviews for my clinic?
Ask every patient who had a normal visit, not only the happy ones, and make it easy with a short review link or QR code at the reception desk. Google's policy does not allow offering discounts or free services for reviews, or asking only satisfied patients. A steady flow of genuine reviews works better than a sudden burst.
Why is my clinic not showing on Google Maps for nearby searches?
The usual reasons are an unverified profile, the wrong primary category, an incomplete profile, few reviews compared with nearby clinics, or a clinic address that is far from where the searcher is. Distance plays a big part in local results, so you will not show everywhere in a city. Fix the profile basics first, then work on reviews and your website's location pages.
